Terms & Conditions
Last updated: 28 March 2026
Please read these Terms and Conditions carefully before using Oris. By registering an account or using the Service in any way, you agree to be bound by these Terms. If you do not agree, do not use Oris.
1. Definitions
"Service" means the Oris web application, APIs, and all associated features accessible at the Oris domain.
"Clinic" / "you" means the physiotherapy practice or individual practitioner who registers an account.
"Patient Data" means all information entered into the Service relating to your patients, including clinical notes, session records, medical history, and assessment outputs.
"We" / "us" / "Oris" means the operator of this Service.
2. Eligibility & Intended Use
Oris is intended exclusively for use by qualified healthcare professionals, including physiotherapists, physical therapists, and allied health practitioners. By registering, you confirm that you are a qualified healthcare professional and that you will use the Service only in connection with your legitimate clinical practice.
You must be at least 18 years old and legally able to enter into a binding contract in your jurisdiction to use the Service.
Use of Oris outside of a professional clinical context is not permitted.
3. Clinical Decision Support — Not a Medical Device
This is the most important clause in these Terms. Please read it carefully.
Oris is a clinical decision-support tool. It is not a certified medical device, diagnostic system, or substitute for professional clinical judgement. All AI-generated outputs — including differential diagnoses, red flag alerts, treatment plans, and assessment summaries — are provided for informational and reference purposes only.
You, as the treating clinician, remain solely responsible for all clinical decisions, assessments, diagnoses, and treatment plans provided to your patients. Oris outputs must be reviewed, interpreted, and validated by a qualified practitioner before being applied to patient care.
Oris does not guarantee the accuracy, completeness, or clinical appropriateness of any AI-generated content. Reliance on AI outputs without independent clinical verification is at your own risk.
Nothing in the Service constitutes medical advice to patients. You must not share raw AI outputs directly with patients as clinical recommendations without your own professional review.
4. Account Registration
Each clinic account is a single, isolated tenant. You are responsible for maintaining the confidentiality of your login credentials and for all activity that occurs under your account.
You agree to provide accurate and complete registration information and to keep it up to date. You must notify us immediately if you believe your account has been compromised.
You may not share your account with another individual or clinic, or use your account to process data belonging to a different practice without registering a separate account.
We reserve the right to suspend or terminate accounts that violate these Terms or that we reasonably suspect are involved in fraudulent or abusive activity.
5. Free Trial
New accounts receive a 2-month free trial from the date of registration. During the trial, you have access to all features of the Service at no cost. No credit card is required to start your trial.
At the end of the free trial period, you will be invited to select a paid subscription plan. The Service will not charge you automatically at the end of your trial — a subscription requires your explicit opt-in and payment confirmation.
If you do not subscribe at the end of the trial, your access to the Service will be restricted. Your data will be retained for 30 days after trial expiry to allow you to export it, after which it may be permanently deleted.
We reserve the right to modify the duration of the free trial for new registrations at any time.
6. Subscription Plans & Billing
After your free trial, Oris is available under two subscription plans:
- Monthly Plan — $30.00 per month, billed on a rolling monthly basis.
- Annual Plan — $19.50 per month, billed annually ($234.00 per year), representing a 35% saving over the monthly rate.
All prices are listed in US dollars (USD) and exclude any applicable taxes. You are responsible for any taxes, duties, or levies imposed by your jurisdiction in connection with your subscription.
Subscriptions renew automatically at the end of each billing period unless cancelled before the renewal date in accordance with Section 7.
We reserve the right to adjust pricing with at least 30 days' advance notice. Price changes will not apply until your next renewal cycle following the notice period.
7. Cancellation & Refunds
You may cancel your subscription at any time from within your account settings. Cancellation takes effect at the end of your current billing period — you retain full access until then.
Monthly subscriptions are non-refundable once a billing period has commenced. If you cancel mid-month, you will not receive a partial refund for the unused portion of the month.
Annual subscriptions are non-refundable after 14 days from the annual billing date. If you cancel within 14 days of an annual renewal, we will issue a full refund of the annual fee upon request.
To request a refund within the eligible window, contact us at the address in Section 17.
8. Acceptable Use
You agree not to use the Service to:
- Enter fabricated or fraudulent patient data
- Attempt to reverse-engineer, scrape, or extract the AI models or prompts underlying the Service
- Circumvent any security, authentication, or access controls
- Introduce malware, scripts, or automated bots into the Service
- Access or attempt to access another clinic's data
- Use the Service in a manner that violates applicable healthcare regulations, data protection laws, or professional codes of conduct
- Resell, sublicense, or white-label the Service without our express written consent
Violation of this section may result in immediate account suspension without refund.
9. Patient Data & Your Responsibilities as Data Controller
You are the data controller for all patient data you enter into Oris. You are responsible for ensuring that you have a lawful basis for processing your patients' personal and health data, for obtaining any required patient consents, and for complying with all applicable data protection laws (including UK GDPR, EU GDPR, and any local regulations in your jurisdiction).
Oris acts as a data processor for patient data on your behalf. We process patient data only as necessary to provide the Service and in accordance with our Privacy Policy.
Patient data is never used to train, fine-tune, or improve our AI models. Your clinical data remains yours.
You are responsible for informing your patients that their clinical information is processed using a third-party AI-assisted platform and for obtaining appropriate consent where required by applicable law.
10. Intellectual Property
The Service, including its design, underlying technology, AI prompts, and all content produced by Oris (excluding your Patient Data), is the intellectual property of Oris and is protected by applicable copyright, trademark, and trade secret laws.
You retain full ownership of all Patient Data and clinical content you input into the Service. By using the Service, you grant Oris a limited, non-exclusive licence to process that data solely for the purpose of delivering the Service to you.
You may not copy, modify, distribute, or create derivative works from the Service or any part of it without our prior written consent.
11. Third-Party Services
Oris integrates with the following third-party services to deliver core functionality:
- Google Gemini AI — powers AI assessment, differential diagnosis, and treatment plan generation. Clinical notes are transmitted to Google's API for processing. Google's data processing terms apply.
- Google Calendar API — optional integration for syncing session appointments to your Google Calendar. Only enabled if you explicitly authorise the connection.
- Neon / PostgreSQL — cloud-hosted database provider used to store your clinic and patient data securely.
We are not responsible for the availability, accuracy, or conduct of these third-party services. Interruptions or changes to third-party APIs may affect Service functionality.
12. Service Availability & Disclaimers
We aim to maintain high availability of the Service but do not guarantee uninterrupted access. The Service is provided "as is" and "as available" without warranties of any kind, express or implied, including warranties of merchantability, fitness for a particular purpose, or non-infringement.
We do not warrant that AI-generated clinical content is accurate, complete, up to date, or appropriate for any specific patient. The clinical outputs of the Service are probabilistic in nature and should always be reviewed by a qualified clinician.
We reserve the right to modify, suspend, or discontinue any feature of the Service at any time with reasonable notice where practicable.
13. Limitation of Liability
To the maximum extent permitted by applicable law, Oris shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of the Service, including — but not limited to — any clinical harm arising from reliance on AI-generated outputs.
Our total aggregate liability to you for any claim arising from or related to the Service shall not exceed the total fees paid by you to Oris in the three months immediately preceding the event giving rise to the claim.
Nothing in these Terms excludes or limits liability for death or personal injury caused by negligence, fraud, or any liability that cannot be excluded under applicable law.
14. Termination
You may close your account at any time by contacting us. Upon account closure, we will retain your data for 30 days to allow data export, after which all clinic and patient data will be permanently deleted.
We may suspend or terminate your account immediately if you materially breach these Terms, if required by law, or if we determine that continued access poses a risk to other users or to the integrity of the Service.
On termination for any reason, all licences granted to you under these Terms cease immediately.
15. Governing Law
These Terms are governed by and construed in accordance with the laws of England and Wales. Any dispute arising from or relating to these Terms or the Service shall be subject to the exclusive jurisdiction of the courts of England and Wales, unless mandatory consumer protection laws in your jurisdiction require otherwise.
16. Changes to These Terms
We may update these Terms from time to time. We will notify you of material changes by email or by a prominent notice within the Service at least 14 days before the changes take effect. Your continued use of the Service after that date constitutes your acceptance of the updated Terms.
If you do not agree to the updated Terms, you must stop using the Service and cancel your subscription before the changes take effect.
17. Contact
For questions about these Terms, cancellation requests, or data-related enquiries, please contact us through the Oris platform or at the email address registered to your clinic account. We aim to respond to all legal enquiries within 5 business days.
